Welcome to SOPX, a service operated by Appolius d.o.o. (“we”, “us”, or “our”). By accessing and using this service, you agree to comply with and be bound by the following terms and conditions. Please read these terms carefully before using SOPX.
1. Acceptance of Terms
By accessing or using SOPX in any manner, including registering an account, uploading content, or using any feature of the service, you agree to be bound by these terms and conditions. If you do not agree with all of these terms and conditions, please do not access or use this service.
2. Intellectual Property Rights
The content, design, graphics, logos, software, and other materials contained in or constituting the SOPX service are owned by us and are protected by intellectual property laws. You may not reproduce, distribute, modify, reverse engineer, decompile, disassemble, or otherwise use any part of the service without our prior written consent. Nothing in these terms grants you ownership of any intellectual property rights in the service or its content.
3. Account Registration and Security
To use SOPX you must register an account. You agree to provide accurate and complete information during registration and to keep your account credentials confidential. You are responsible for all activity that occurs under your account. You must notify us immediately at [email protected] if you become aware of any unauthorized use of your account. We are not liable for any loss or damage resulting from unauthorized access to your account caused by your failure to protect your credentials.
4. Acceptable Use
You agree to use SOPX only for lawful purposes and in accordance with all applicable laws and regulations. You must not:
- upload, submit, or process content that infringes the intellectual property rights of any third party;
- upload content that is unlawful, harmful, threatening, abusive, defamatory, or otherwise objectionable;
- attempt to gain unauthorized access to any part of the service, its infrastructure, or other users’ accounts;
- use the service to distribute malware or engage in any activity that could damage, disable, overburden, or impair the service;
- scrape, crawl, or extract data from the service using automated means without prior written consent;
- share, resell, or sublicense access to the service in violation of your subscription plan;
- submit content containing personal data of third parties without having a lawful basis to do so under applicable data protection laws.
5. User Content and License
You retain ownership of all content you upload or create using SOPX, including videos, documents, and generated SOPs. By submitting content to SOPX, you grant us a limited, worldwide, non-exclusive, royalty-free license to store, process, and transmit that content solely as necessary to provide the service to you. We will not use your content for any purpose beyond operating and improving the service for you. You represent and warrant that you have all rights necessary to submit your content and to grant this license, and that your content does not violate the rights of any third party.
6. AI Processing
SOPX uses artificial intelligence to process videos and audio submitted by you in order to generate work instructions and SOPs. By submitting content to the service, you acknowledge and consent to this processing. Content submitted for AI processing is transmitted to third-party AI service providers solely for the purpose of delivering the service. These providers are contractually bound to process your data only as instructed by us and not for their own purposes. Neither we nor our AI service providers use your submitted content to train AI models.
6a. AI-Generated Content Verification
SOPs, work instructions, and other content generated by SOPX from source material (video, audio, PDF, or text) are produced by AI processing and may contain errors, omissions, or misinterpretations. You are solely responsible for reviewing, editing, and verifying generated content before publishing it, distributing it to your team, or relying on it in any operational, training, safety, or compliance context. SOPX is a documentation tool and does not replace human judgment, qualified expertise, or applicable safety, regulatory, or quality-management procedures.
7. Subscription, Billing and Payment
Access to SOPX is licensed by us on a subscription basis. Subscription fees are charged in advance on a monthly or annual basis, depending on the plan you select, and are stated and charged in U.S. Dollars (USD).
Subscriptions to SOPX are sold and invoiced through a third-party payment provider that acts as Merchant of Record on our behalf. The payment provider issues your invoice, processes your payment, and collects and remits any applicable VAT, sales tax, or similar taxes under its own tax registration. Charges may appear on your bank or card statement as LINK.COM or LINK.COM* SOPX AI; the exact wording varies by bank. The purchase transaction is governed by the payment provider’s terms and privacy policy; your use of the service is governed by these Terms. The payment provider’s identity is available on request at [email protected].
Your subscription renews automatically at the end of each billing period using the payment method on file, unless you cancel before the period ends. You will receive a renewal reminder email before each renewal. You may cancel at any time from the Manage Billing portal inside the application.
All listed fees are exclusive of taxes. The applicable tax is calculated and added by the payment provider at checkout based on your billing location. Business customers can enter a Tax ID (VAT number) at checkout by selecting “I’m purchasing as a business” or by adding or updating it later via the Manage Billing portal. Changes to your Tax ID, business name, or billing address apply to future invoices only; already-finalized invoices cannot be modified.
Once your subscription is active, you can download invoices, update your payment method, and manage your billing details from the Manage Billing portal accessible inside SOPX.
If a payment fails, the payment provider will retry the charge in line with its standard retry schedule. Your access to the service may be suspended until payment is resolved. We will not delete your data during the retry and grace period; once payment is restored, your subscription resumes without loss of content.
SOPX is priced per user. Pending invitations are not charged; you are charged only when a user accepts an invite. Adding a seat mid-period results in a prorated charge for the remainder of the current billing period, applied to your next invoice or generated as a one-time proration invoice for annual plans. Removing a seat creates an account credit that automatically offsets future charges. Switching between monthly and annual billing is also prorated automatically.
We may change subscription prices from time to time. We will notify you by email at least 30 days before any price change takes effect. Continued use of the service after the new price takes effect constitutes your acceptance of the change.
8. Cancellation and Refunds
You may cancel your subscription at any time through the Manage Billing portal. Upon cancellation, your access to the service stays active until the end of the current billing period, and a pending cancellation can be restored at any time before the period ends. No automatic refunds are issued for unused portions of a billing period. Refund requests are evaluated on a case-by-case basis; approved refunds are processed by the payment provider acting as Merchant of Record. Consumers in the European Union retain any non-waivable statutory rights under applicable consumer protection law. To request a refund, contact [email protected].
9. Data Retention and Deletion on Termination
Upon cancellation of your subscription or termination of your account, all your data, including uploaded videos, generated SOPs, transcripts, and account information, will be permanently deleted from our systems. Deletion is irreversible. You are responsible for exporting any data you wish to retain before cancelling your account. We are not responsible for any loss of data following account termination.
10. Service Availability
We will make reasonable efforts to maintain the availability of SOPX. However, the service is provided on an as-is and as-available basis. We do not guarantee uninterrupted or error-free access to the service. Planned maintenance may result in temporary unavailability, and we will make reasonable efforts to provide advance notice where possible. We reserve the right to modify, suspend, or discontinue any feature or aspect of the service at any time.
11. Third-Party Services
SOPX relies on third-party services to deliver certain features, including AI-based processing, hosting and infrastructure, and payment processing. We are not liable for any interruption, degradation, or failure of service caused by third-party provider outages or changes to third-party services. We will make reasonable efforts to address service disruptions caused by third parties.
12. Privacy Policy and Data Processing Agreement
Your use of SOPX is governed by our Privacy Policy, which is incorporated into these terms by reference. By using the service, you agree to the collection and processing of your data as described in the Privacy Policy. Where you are subject to the GDPR or comparable data protection law and you are the controller of personal data processed by SOPX on your behalf, our Data Processing Agreement applies and is incorporated into these terms by reference.
13. Limitation of Liability
To the maximum extent permitted by applicable law, we shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of data, loss of profits, or business interruption, arising out of or in connection with your use of or inability to use SOPX, whether based on contract, tort, strict liability, or otherwise. Our total liability for any claim arising out of or relating to these terms or the service shall not exceed the greater of (a) the total fees paid by you to us in the twelve (12) months preceding the event giving rise to the claim, or (b) one thousand U.S. dollars ($1,000 USD).
14. Indemnification
You agree to indemnify and hold harmless us and our officers, employees, and agents from and against any claims, damages, losses, or expenses (including reasonable legal fees) arising out of or related to your use of the service, your violation of these terms, or your violation of any third-party rights.
15. Governing Law and Jurisdiction
These terms and conditions are governed by and construed in accordance with the laws of the Republic of Slovenia. Any disputes arising out of or in connection with these terms shall be subject to the exclusive jurisdiction of the competent courts of the Republic of Slovenia.
16. Dispute Resolution
Before initiating legal proceedings, you agree to first attempt to resolve any dispute with us informally by contacting [email protected]. We will make good-faith efforts to resolve the dispute within 30 days of receiving written notice.
17. Changes to Terms
We reserve the right to modify these terms at any time. Where changes are material, reasonable notice will be provided via email or a notice within the service. Your continued use of SOPX after any changes take effect constitutes your acceptance of the revised terms.
