What SOPX is, how it works, and what to expect on your first day.
What is a standard operating procedure (SOP)?
A standard operating procedure (SOP) is a step-by-step instruction document for a specific task or process. It keeps work consistent across people and shifts, cuts errors, and gives auditors something to check against quality and compliance standards. SOPs are common in manufacturing, healthcare, food production, logistics, and any operation where repeatable execution matters.
How is SOPX different from writing SOPs in Word or Google Docs?
Word and Google Docs give you a blank page. You write every step, take your own screenshots, format the layout, then figure out where to store the file. SOPX starts from a video. AI pulls the steps, writes descriptions, and grabs screenshots for you. Your SOPs sit in organized workspaces with version control and permissions. Share any SOP with a link or QR code. When the process changes, update it once and every copy stays current.
How do I create an SOP?
Three ways. Record a process on video and AI generates the steps. Import a PDF and SOPX converts it into a structured SOP. Or write from scratch in the built-in editor. AI extracts steps, screenshots, and descriptions, so you only need to review and tweak.
Why are SOPs important for operations teams?
SOPs cut training time and stop knowledge from walking out the door when senior people leave. They keep work consistent across shifts and locations. They give you the audit trail you need for ISO, HACCP, or GMP. Without current SOPs, teams fall back on tribal knowledge, which leads to errors and slow onboarding.
What happens after the free trial?
After the 14-day trial, you can upgrade to Pro to keep creating SOPs, or pause your account if you're not ready yet. Your existing SOPs, workspace, team members, and settings stay intact either way. Nothing is deleted. When you come back, pick up exactly where you left off.
How does SOPX handle sensitive process videos?
Videos are processed securely and stored encrypted. Access is scoped per workspace, so only invited team members see SOPs and source videos. You can revoke access or delete content any time. We're GDPR-compliant and don't use your content to train models.
Does SOPX work for ISO 9001, HACCP, or GMP documentation?
Yes. SOPX keeps structured SOPs with version history, so you can see exactly what changed between versions. That covers documentation for ISO 9001, HACCP, GMP, and similar standards. Updates publish instantly to everyone with access, so the team always follows the current version. Export to PDF or Word for audit binders.
How long does it take to generate SOPs from a video?
A few minutes, depending on the video length. A 10-minute recording is usually ready to review in under five. What used to take days or weeks of manual documentation now happens in minutes, and you can polish the output while the team gets back to work.
Can I edit the generated SOPs?
Yes, every generated SOP is fully editable. Rewrite step text, reorder or remove steps, swap screenshots, add your own clips or images, and shape the structure to match your standards. Changes are tracked with version history, so you always know what changed and when.
Is my data secure?
Yes. Videos and SOPs are encrypted at rest and in transit. Access is scoped to your workspace, so only invited team members can view content. We're GDPR-compliant, don't use your content to train models, and you can delete your data any time.
Does it work for physical videos or only screen recordings?
Both. SOPX handles physical process videos (manufacturing, assembly, logistics, food production, maintenance) and screen recordings (software tutorials, internal tools, onboarding flows) in one platform. Phone cameras work as well as screen capture tools. You can mix both inside the same SOP when a process spans them.
How can I start using SOPX?
Click "Try SOPX free" to create your workspace instantly. No credit card needed. You get 10 AI-generated SOPs to test the full workflow. For enterprise rollouts or team-wide setup, click "Talk to person" to book a short call.
Can I create SOPs from existing documents instead of video?
Yes. Upload a PDF and SOPX converts it. AI pulls the text, translates it, extracts images, and maps them to the right steps. The result is an editable SOP without rewriting from scratch. You can also translate it into 50+ languages instantly.
How do I organize SOPs in SOPX?
SOPX uses workspaces to group SOPs by department, production line, location, or any structure that matches your organization. You can search across all procedures instantly. Combined with teams and access control, each department sees only the SOPs relevant to their work.
Can I control which employees see which SOPs?
Yes. Create teams, assign users, and set permissions per workspace or individual SOP. Your production team sees production SOPs. Your quality team sees quality SOPs. You decide who can create, edit, and view. Available on all plans.
SOPs and the editor
Recording, importing, editing, organizing, sharing, and translating your SOPs.
Can I annotate screenshots and video frames inside an SOP?
Yes. SOPX has a built-in annotation tool for marking up step thumbnails and video frames. Add arrows, rectangles, ellipses, text, and callouts to point operators at the exact button, part, or measurement that matters. No extra software, no screenshot uploads.
Do annotations show during video playback or only on the thumbnail?
Both, and you choose per step. Annotations always appear on the step thumbnail. A toggle controls whether they also stay visible while the video clip plays. SOPX also opens a Detail view next to the video so operators can see the annotated key frame at full size while the clip runs.
Can SOPX handle both physical videos and software screen recordings?
Yes. SOPX supports both physical process videos (like manufacturing, logistics, healthcare procedures) and software workflows (like internal tools, onboarding, support playbooks).
Is SOPX only video-to-SOP, or can we create SOPs manually too?
Three ways in: generate SOPs from video, import a PDF, or create them manually from scratch. Use whichever fits, or mix them.
How good is translation quality in SOPX?
SOPX uses AI translation tuned for operational context and meaning, not literal word-for-word output. That helps multilingual teams stay consistent on the floor.
Can we edit SOPs after they are generated?
Yes. Edit steps any time. Update wording, reorder instructions, and keep SOPs in sync with real process changes.
Can we attach additional clips to SOP steps?
Yes. Add new short clips to any step so instructions stay clear, like a short-form visual manual.
How do versioning and approvals work?
SOPX keeps a full change history and helps teams hold one approved version per SOP. That cuts confusion and execution risk.
Can we share SOPs with people who don't have a SOPX account?
Yes. Any published SOP can be shared via public link or QR code. Viewers open it in the browser. No account, no login, no app install. Works for contractors, temp workers, external partners, and auditors. Export to PDF or Word for offline distribution.
Who is SOPX for?
Operations, training, quality, and enablement teams. Common industries: manufacturing, logistics, healthcare, retail, hospitality, and software teams running repeatable workflows.
Can I import existing PDF documents?
Yes. Upload a PDF and SOPX converts it into a structured SOP. AI extracts the text, pulls images, and maps them to the right steps. The output is fully editable, translatable into 50+ languages, versioned, and shareable via QR code or public link. Same as any other SOP in your workspace.
